Account Information

When you create an account, we collect your email address and authentication credentials. If you subscribe to a paid plan, we collect billing information through our payment processor.

Quickbase Connection

To connect QVA to your Quickbase account, you provide your Quickbase user token. We use this token solely to authenticate API requests on your behalf and do not share it with third parties.

Voice Data

When you use QVA's voice features, audio is processed in real-time to extract structured data. We do not store raw audio files or voice transcripts. Audio data is transmitted securely to our AI processing service and discarded immediately after processing.

Usage Data

We collect anonymized usage metrics such as feature usage patterns, error rates, and performance data to improve our service. This data does not include the content of your voice commands or Quickbase records.

3. What We Do Not Store

QVA is designed as a pass-through interface. We explicitly do not store:

  • Raw audio recordings
  • Voice transcriptions
  • Quickbase record contents
  • Quickbase field values or schema details beyond session caching

4. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our service
  • Process voice commands and create Quickbase records
  • Authenticate your Quickbase API requests
  • Process payments and manage subscriptions
  • Send service-related communications
  • Respond to customer support requests
  • Monitor and analyze usage trends

5. Third-Party Services

AI Processing

We use Google's Gemini AI to process voice input and extract structured data. Audio and text are processed according to Google's data handling policies for API services. No data is retained by Google for model training when using our API integration.

Quickbase API

QVA connects to Quickbase via the official Quickbase API. Your interactions with Quickbase through QVA are subject to Quickbase's own privacy policy and terms of service.

Payment Processing

We use Stripe to process payments. Your payment information is handled directly by Stripe and is subject to Stripe's privacy policy. We do not store credit card numbers on our servers.

6. Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit using TLS 1.3
  • Encryption of sensitive data at rest
  • Regular security assessments and monitoring
  • Access controls and authentication requirements
  • Secure cloud infrastructure with SOC 2 compliant providers

7. Data Retention

We retain account information for as long as your account is active or as needed to provide services. You may request deletion of your account at any time by contacting us. Upon deletion, we will remove your account information within 30 days, except where retention is required by law.
